Booking and phone

An AI booking assistant for your website, and an AI phone assistant

HoloChron doesn’t only work at reception. The same assistant books appointments and answers questions on your website, and picks up the phone when your team can’t. It works from one knowledge base and writes everything it learns into the same system.

Website

AI booking assistant on your website

It sits on your website and helps where visitors used to give up: they couldn’t find a free slot, didn’t understand a service, or didn’t want to fill in a form. It answers from your own knowledge base, not from the open internet.

Books, reschedules and cancels appointments in your existing calendar
Explains services, opening hours and what to prepare
Takes quote requests or orders with the details you need
Sends confirmation by email, as your booking system is set up
Hands over to a colleague when a human decision is needed
Leaves a summary of every conversation in your CRM

Do you have a free service slot on Thursday afternoon?
Yes, at 2:00 pm and 4:30 pm. Which one would you like?
4:30, please.
Booked. I’ve sent the confirmation by email.

Phone

An AI phone assistant that actually picks up

It helps where most customers are lost: missed calls. During office hours it takes the load off your team; after hours it doesn’t leave callers on voicemail.

Answers the call and says at the start that the caller is speaking to AI
Books, reschedules or cancels appointments by voice
Answers recurring questions from approved knowledge
Transfers the call or books a callback when a colleague is needed
Writes a short summary into your system after the call
Speaks Hungarian and the languages you choose

Good evening, this is the service centre’s digital assistant. I’m an AI — how can I help?
I’d like an appointment tomorrow, but only after work.
There’s a free slot tomorrow at 5:30 pm. Shall I book it?
Yes, thanks.
Done — I’ll send you the confirmation.

One knowledge base, three channels

The same assistant on site, on your website and on the phone

On site

A life-size assistant at reception or in the customer area, on a Box, MiniBox or Kiosk display.

On your website

A booking and customer-service assistant on your own site, in your brand.

On the phone

A voice assistant that answers incoming calls.

All three work from the same knowledge and write into the same system: what was agreed on the phone is known at reception too. Each can be introduced on its own — the website and phone assistants need no display.

Systems

Already have a CRM? We connect to it. Don’t have one? We build it.

We connect to your booking calendar, CRM, webshop or business system through an API. If you don’t have a customer system yet, we set that up too, so bookings, calls and enquiries end up in one place.

Process

How we introduce it

Needs assessment

We go through the questions and bookings you receive, the systems you use, and where you lose customers today. Free, one meeting.

Knowledge and voice

We build the knowledge base from your materials and set the voice, style and form of address. You approve the answers.

Integration

We connect it to your calendar, CRM and phone line, then check it with test calls.

Go-live and fine-tuning

The first month or two is about fine-tuning: we refine answers and the flow based on real conversations.

FAQ

Frequently asked questions

Do we need a HoloChron display?

No. The website and phone assistants can be introduced on their own. If you later add an on-site assistant, it works from the same knowledge.

Which booking systems does it connect to?

We connect to your existing calendar, booking or business system through an API. Which route suits yours is something we check in the needs assessment.

Won’t it sound robotic?

We tune it so it doesn’t: it uses your wording and your company’s tone, and we keep refining it from real conversations. At the start of the conversation it tells the caller they are speaking to AI.

What if it can’t answer?

It doesn’t guess. It says a colleague can help with that and, depending on the setup, transfers the call, books a callback or takes a message.

How does it handle personal data?

It only asks for and records what the booking or the request needs. What we store, where and for how long is set out in the contract.

Request a quote for a booking or phone assistant

Tell us what bookings and calls come in today and which systems you use. We’ll suggest the channels and the integration.
